Free vs Professional vs Team
Free is limited by two-step Zaps and 15-minute polling before it is limited by its 100 tasks. Professional unlocks multi-step Zaps, premium apps, webhooks, filters and paths on a single seat. Team adds 25 users, SAML SSO and 1-minute polling. The table compares each plan at its cheapest task tier, which is the floor rather than the full range.

What counts as a Zapier task
A task is any successful action that runs in Zapier, and only successful actions count. Trigger steps, Filter and Paths steps, failed or halted actions and several built-in utilities are free. Replaying a whole Zap run bills the previously successful steps again. Your step count and run frequency, not the number of Zaps you own, decide which task tier you need.
Only successful actions bill
Zapier's help centre defines a task as any successful action that runs in Zapier, and states that only successful actions count toward your task usage. Every successful action step in a Zap counts, including successful steps inside an error handler path. That definition, not the number of Zaps you own, is what decides which task tier you need.
Triggers are free
All trigger steps are excluded. A Zap that polls a thousand times and fires twice bills two runs' worth of actions, not a thousand.
Filters and paths are free
Any Filter or Paths step is excluded from task counting, so routing logic can be as elaborate as you like without adding to the bill.
Failures are free
Action steps that error or halt do not count, and neither do steps that never ran because an earlier filter, path or error stopped the Zap.
Several built-in apps are free
Steps using Zapier Tables, Forms, Formatter, Delay and Looping are among the utility apps excluded from task counting.
Replays bill again
Previously successful steps that run again when you replay an entire Zap run count as tasks a second time, which is worth knowing before bulk-replaying a backlog.
Hidden costs and limits
The two costs that surprise people are seats and the quota. Free and Professional include one seat, so a second editor moves you to Team. When tasks run out, Zapier holds new Zap runs until the billing cycle resets unless pay-per-task billing is on, which means automations stop silently rather than generating an extra invoice.
Polling speed is also tied to the plan: 15 minutes on Free, 2 minutes on Professional and 1 minute on Team. Code steps have plan-based runtime limits, from 1 second per step on Free to 30 seconds on Professional and Team.
Annual billing is 33% cheaper than monthly, and Zapier lists a further 15% non-profit discount.
Is Zapier worth it? Alternatives to compare
Zapier is strongest for short, frequent Zaps across a very large app directory on a hosted service. It becomes expensive when workflows have many action steps, because each successful action is a task, or when several people need seats. If either applies, compare an execution-based tool such as n8n and the other options before you pick a tier.

What counts as a task in Zapier?
Zapier defines a task as any successful action that runs in Zapier, and counts only successful actions. Excluded are all trigger steps, any Filter or Paths step, all action steps that error or halt, and steps that never ran. Steps using Zapier Tables, Forms, Formatter, Delay and Looping are also excluded. Replaying an entire Zap run re-bills the steps that already succeeded.
What happens when I run out of Zapier tasks?
Zapier holds any new Zap runs until your billing cycle resets, unless you have pay-per-task billing enabled — which the pricing page lists as a Professional feature. So on the Free plan, hitting 100 tasks means automations stop until the month rolls over rather than continuing at extra cost.
Does Zapier charge per user?
Not on Free or Professional, both of which include a single seat. Team includes 25 users at its published price, and Enterprise lists unlimited users. So Zapier's seat model is a step function rather than a per-seat charge: you pay to cross into Team, not per person added.
Is annual billing cheaper on Zapier?
Yes. Zapier states that annual subscriptions are billed yearly at 33% off the monthly rate. That is why Professional shows as $19.99 a month billed annually against $29.99 billed monthly at the same 750-task tier. A non-profit discount of a further 15% is also listed.
Do webhooks count against the Free plan?
Webhooks are not available on the Free plan at all — the plan comparison lists no webhooks alongside no premium apps and no filters and paths. Webhooks appear from Professional upward, where the pricing page describes them as unlimited.
